Facilities Use Committee Minutes 10.17.24

The meeting came to order at 8:30 am. Present were Bruce Gezelman (chair), Scott McCaskill, and Karen Hambleton. Also present were Maria Storm and Janet Bauer. Andrew Pinard joined us around 8:50 am.

The minutes from the previous meeting were accepted.

There was some discussion on the naming of the rooms at the BACC, and more discussion about uses of the rooms and ways of generating interest. Karen reminded us that the job of the committee is to make recommendations to the Select Board regarding funding, fund raising, and uses, rather than taking on those jobs directly.

The committee needs to create plans for the spaces (BACC and Town Hall second floor): What needs to be done to further fit out the spaces; what immediate and regular ongoing maintenance is required; what our policy is on long-term tenants.

Andrew suggested that maintenance logs for the buildings should be kept, so that we can see what has been done, and when, and estimate then what yet needs to be done, and when and how.

There was the question of the use of the BACC as an emergency shelter. Although it has been used for this in the past, the requirements are more stringent now; for example, showers would be needed to properly qualify.

For fitting out the TH2F, Andrew noted that a donation of $8,000 had been made to cover window treatments. The second big need is for seating, which is estimated to cost about $15,000. Sound equipment is also needed, although we could just buy the equipment that we are currently borrowing. Also, installing the required rigging pipes would provide mounting for lighting and projection equipment.

He also noted that word of the availability of the second floor is getting around, and inquiries are being made by groups that would like to use it. There is already a Tai Chi class going on, and the Bradford Squares have used it and plan to return.

Andrew also brought up the idea of digital signage at the junction of Routes 103 and 114. Bruce noted that the Economic Development Committee is already working along those lines.

Andrew will prioritize the list of needed equipment. Bruce will research FEMA requirements for shelters.

The meeting adjourned at 9:40 am. The next meeting will be held on Thursday, 21 November at 8:30 am.
